 How will you contribute to our team?

You will assist the Account Executive with every aspect of the project and managing major accounts.

You will act as liaison between project management, design, operations and clients.

Even though this is an entry level position there is ample opportunity to grow within our company as you grow within your role.

 Duties and Responsibilities

 ü Develop a firm understanding of the sales process, product development, visual merchandising and retail.

üEffectively and efficiently use Microsoft Excel, Word, Outlook and Acumatica programs.

ü üMaintaining an organized workspace so you can easily maintain project schedules and spreadsheets for multiple accounts.

ü üUse problem solving skills to resolve any discrepancies that may arise.

ü üWorking efficiently so you will meet client specified deadlines.

ü üMaintain an effective working relationship with the Account Executive you will be working directly under in a team like environment.

ü üPerform general office duties including organizing and filing paperwork, answering general phone calls and providing back up when needed for other teams.

QQualifications

ü College degree preferred.

ü Preferably in merchandising, public relations, advertising or business.

ü Must be highly organized and possess the ability to multitask to switch focus quickly and work on multiple projects at the same time.

ü Must have efficient and accurate computer data entry skills.

ü Proficient in Microsoft Office programs including Excel, Word, Outlook & PowerPoint.

ü Excellent written, verbal and communication skills.

ü Enjoys working in a fast-paced environment so you can act with a sense of urgency and adhere to set deadlines.

ü Have an enthusiastic and personable demeanor with strong customer focus.

Job Summary

Key Responsibilities

·       Process vendor invoices accurately and in a timely manner, ensuring proper approvals, account coding, and supporting documentation are in place.

·       Match invoices to purchase orders and receiving documentation (2-way or 3-way matching)

·       Prepare and process payment runs, including checks, credit card, ACH, and wire transfers, ensuring accuracy, timely disbursement, and proper authorization.

·       Maintain and update vendors master data, including W-9s and banking information, while following established controls for vendor setup and changes.

·       Reconcile the AP subledger to the general ledger, review open items, and assist with month-end close activities, including accrual support and vendor statement reconciliations.

·       Research and resolve invoice discrepancies and vendor inquiries

·       Ensure compliance with internal controls, company policies, and applicable regulations, including review of approvals, duplicate payment prevention, and payment support documentation.

·       Assist with audits by providing documentation and responding to inquiries

·       Respond professionally to vendor and internal inquiries, resolve discrepancies promptly, and escalate urgent payment issues as needed.

·       Support continuous improvement of AP processes and systems

·       Maintain organized and accurate records (electronic and/or physical)

·       Special Projects as required.

Qualifications

·       Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (preferred)

·       2+ years of accounts payable or general accounting experience

·       Strong understanding of basic accounting principles

·       Experience with ERP or accounting systems, preferably Acumatica, including invoice entry, payment processing, and workflow approvals.

·       Proficiency in Microsoft Excel and other MS Office applications, including sorting, filtering, and basic reconciliation support.

·       Excellent attention to detail and accuracy

·       Strong organizational and time management skills

·       Ability to communicate effectively with internal teams and external vendors

Preferred Skills

·       Experience in a high-volume AP environment

·       Knowledge of sales and use tax regulations

·       Familiarity with automated AP or invoice workflow systems

·       Familiarity with 1099 reporting requirements and vendor compliance documentation is a plus.

·       Problem-solving mindset with the ability to work independently

What You’ll Do

·       As our Supply Chain Manager, you’ll play a critical role in ensuring our products move seamlessly across the globe. You will:

·       Lead global logistics operations across ocean and air freight

·       Build and manage strong relationships with logistics providers, ensuring high-quality service at optimal cost

·       Own procurement processes—from supplier selection to negotiation and performance management

·       Coordinate warehousing, inventory, and distribution to ensure on-time delivery

·       Monitor and analyze supply chain KPIs to uncover insights and drive continuous improvement

·       Partner cross-functionally with operations, finance, and sales to align supply and demand

·       Quickly resolve logistics challenges and mitigate risks across the supply chain

·       Champion lean processes and efficiency initiatives

·       Develop and mentor a high-performing supply chain team

What You Bring

·       Proven expertise in international shipping, freight, and cost control

·       Strong skills in ERP/MRP systems and supply chain analytics

·       Excellent negotiation and vendor management abilities

·       Financial acumen with a focus on optimization

·       Ability to navigate complexity and thrive in a dynamic environment

Bonus Qualifications

·       Mandarin language skills preferred

·       Experience working with China-based supply chains and international sourcing
